Features

Everything your shop needs.

Selling, stock, receipts, customers who pay later, reports, cashiers and branches. Here is how each one works.

New Sale

A till that lives on the phone already in your pocket.

Tap the products, take the money, hand over the receipt. The shelf is laid out A to Z by category, or searched, or scanned with a barcode reader, so a queue of customers never waits on the till.

  • Sell by the piece or by the pack: a sack of 10 bags at the sack price, one tap
  • Discount by amount or by percent, if you allow discounts at all
  • VAT already inside your prices, shown on the receipt, with tax-free items marked
  • Paid in full with change worked out, or pay later with the customer's name on the balance
  • Hold a sale while the customer fetches money; resume it from Pending Sales
  • Keeps selling when the network drops, and sends every sale the moment it is back

Receipts

A receipt the customer can hold, and you can find again.

Every completed sale gets a numbered receipt with your shop's name, location, phone and logo, the items, the tax inside, what was paid and how, and what is still owed.

  • Print to an 80mm receipt printer or any ordinary printer
  • Download the PDF and send it to the customer on WhatsApp yourself
  • Later payments and refunds appear on the same receipt as a payments trail
  • Find any receipt again from Sales History by customer, product or receipt number

Products and stock

Know what is on the shelf before the customer asks.

Every product with its photo, category, selling price and buying price. Stock goes down with each sale and up with each restock, and the app tells you what is running low.

  • A low-stock level per product, a Low stock filter, and a dashboard list of what needs attention
  • Restock with the new buying price and the supplier, so cost history is kept
  • Packs: a product sold singly and by the carton, sack or crate, with both prices
  • A warehouse, if you keep one: store room stock apart from the shop floor, moved across in a tap
  • Sort by newest, A to Z, or lowest stock first

Outstanding Payments

Customers who pay later, without the exercise book.

A sale on credit carries the customer's name and phone. Every cedi they bring later is recorded against it, with how they paid, until the balance is gone.

  • Choose per shop: everyone pays in full, everyone may pay later, or the cashier decides each time
  • Part payments by cash, MoMo, bank or card, each with an optional note
  • Longest owed first, or largest balance first; debts over 30 days flagged
  • "Owed to you" on the dashboard, and in the evening SMS

Returns

Take goods back properly, with the money accounted for.

A customer brings something back: give the money back, swap it, or record it as damaged. Stock and the day's takings follow whichever you choose.

  • Refund in cash, capped at what was actually paid; the rest comes off any balance
  • An exchange puts the item back on the shelf and leaves the money alone
  • Damaged goods are recorded without going back into stock
  • A cashier can take goods back; only the owner can hand money out

Expenses and reports

The day, the week and the month, in numbers you can act on.

What sold, what came in by cash and MoMo, what went out in expenses, and what is left over. The same numbers on the dashboard, the Reports page and the evening SMS.

  • Expenses by category and month: rent, transport, restock, salary, whatever you name
  • Summary for any dates: sold, money in by method, returns, expenses, left over, top products
  • A 7-day chart on the dashboard against the week before
  • Cashier report: sales, money collected, returns and released holds, per person (Growth and Premium)
  • Excel exports of sales, expenses and stock for your accountant (Growth and Premium)

Cashiers

Give your staff the till, and only the till.

A cashier signs in with their own email and password and lands on New Sale. They can sell, hold, take payments and look things up. Your money, your costs and your settings are not on their screen.

  • No buying prices, no expenses, no reports, no subscription, no settings
  • Refunds and balance write-offs are the owner's call, not the cashier's
  • Deactivate an account the day someone leaves; their sales stay in the record
  • One cashier on Basic, three on Growth, as many as you like on Premium

Evening summary

One text every evening, so you know the day without asking.

At the hour you choose, ShopOS sends you the day's sales, how they were paid, the top seller, what is low and who owes you. Whether you were in the shop or not.

  • Sent to the owner only; no customer is ever texted from your shop
  • Choose the hour between 17:00 and 22:00, or switch it off
  • On Premium, one text covers every branch with a line per shop
  • The same numbers as the Summary on the Reports page, so nothing needs reconciling

A second shop, under the same owner, from the same sign-in.

Open a branch and your product list and prices are copied across with empty shelves. Each branch has its own stock, its own cashiers and its own sales; you switch between them at the top of the screen.

  • Up to three shops on Premium, each with its own till and stock
  • "All shops today" on the dashboard: every branch's takings on one strip
  • A cashier belongs to one branch and sees only that branch
  • Close a branch when it closes; its records stay

On the phone

Made for shops in Ghana.

One Android phone, patchy data and a MoMo number. That is what ShopOS is built for.

Installs like an app

Open it once in Chrome, add it to the home screen, and it opens full screen like anything else on the phone. Nothing to download from a store.

Sells through a dropped connection

When the network goes, the till keeps working from what it remembers. Every sale waits on the phone and is sent, in order, the moment the connection is back.

Any printer, or none

Thermal receipt printers on 80mm paper, an office printer, or a PDF the customer keeps on WhatsApp.

Plain words, Ghana cedis

Cash, MoMo, sack, crate, "owed to you". Prices in GH₵, dates the way you write them, phone numbers the way you dial them.

Security

Your records are yours, and they stay that way.

Your shop, your sign-in

Owners and cashiers sign in with their own email and password. Forgot it? A code by SMS to the phone on the account sets a new one.

Each shop sees only itself

No shop can read another shop's products, sales or customers. Cashiers see only their own shop, and only the till.

Records kept for you

Sales, receipts, stock and payments live on our servers in the cloud, backed up, not on the phone that fell in the gutter.

Pay through Paystack

Subscriptions are paid by Mobile Money or card through Paystack. We never see your card number, nothing is charged automatically, and you get a text a week before, the day before and the day your plan ends.
